Participation conditions
A plain-language summary of the conditions that apply to accepted participants. The full participation agreement is sent privately after acceptance and is the binding document.
Applying and being selected
- Applying is free and does not guarantee a place.
- No payment is requested, or accepted, at the application stage.
- Accepted applicants receive a private participation agreement, an invoice and a secure payment link.
- Accepted applicants sign the agreement and pay the acompte by the deadline stated in their acceptance email.
- A place is held only once the agreement is signed and the acompte has been successfully received. A payment screenshot is not proof of payment.
- No money is ever requested before you are accepted.
Fees and payment
- One day: €150 total — €75 acompte, €75 balance.
- Two days: €250 total — €100 acompte, €150 balance.
- The first payment is an advance payment (acompte) deducted from the total participation fee.
- The balance is due by the date given in your acceptance email; unpaid places may be released.
- No commission is taken on participant sales.
- Advertised prices are the final payable amounts.
If the event does not happen
- If the organiser does not reach the minimum number of paid participants, or cannot secure the venue by the stated confirmation date, all amounts collected are refunded in full.
- If the organiser cancels the event after confirmation, participation payments received are refunded within the stated timeline.
- Travel, stock production and lost sales are not reimbursed.
If you cancel
- After the event is officially confirmed, cancelling does not automatically create a right to a refund.
- If an approved replacement participant is found and pays in full, the organiser may refund you minus unrecoverable payment-processing or administration costs, where legally permitted.
- Replacements require organiser approval. You cannot privately resell or transfer your space.
Your space
- An approximate allocated area is confirmed in the agreement; the exact position depends on the final floor plan.
- No specific position is guaranteed unless agreed in writing.
- Furniture is not included and maximum furniture dimensions apply.
- Aisles, doors and emergency exits must never be blocked.
- Drilling, nails, adhesives and any fixing method that damages the venue are prohibited.
Your responsibilities
- Legal right to sell your products, and product compliance and labelling.
- Your own sales, receipts, customer service, refunds and disputes.
- Your own taxes and social declarations.
- Your own stock security, insurance and payment terminal.
- Your own furniture and setup, and the conduct of any assistant.
- Leaving your space clean and respecting opening, setup and dismantling times.
Prohibited without written approval
- Counterfeit or unsafe products
- Open flames and unapproved electrical appliances
- Food, drink and alcohol sales
- Regulated cosmetics and hazardous substances
- Weapons
- Illegal or discriminatory material
- Excessively loud audio
Security and insurance
- Overnight storage is alarmed, but the alarm reduces risk without guaranteeing reimbursement.
- The organiser and the venue are not the insurers of participant stock.
- High-value personal items and cash must be removed overnight.
- You are responsible for damage caused by you, your staff or your display.
Images and promotion
- Your logo, brand name and supplied product images are used for event information and promotion.
- Broader future promotional use is optional and requires separate permission.
- Visitors may take photographs during the event; a notice is displayed on site.
- Portraits are not used in paid advertising without clear permission.
Conduct and termination
- Respectful conduct is expected: no harassment or discrimination, no aggressive selling, no obstruction of other participants, and compliance with safety instructions.
- Stands should not be left unattended for long periods.
- The organiser may remove a participant for non-payment, false application information, unsafe setup, illegal products, serious misconduct or repeated refusal to follow venue rules.
