Privacy notice
The information collected through this form is processed by Tanowa Tomiyama EI for the purpose of managing bookings, participant communication, agreements, payments and the organisation of With Artists Pop-Up.
Required information is used only for event administration and communication. To allow you to return to your booking, an account is created for you and you sign in using a code sent by email. Your data is stored in a database hosted in the European Union, and emails are sent through a transactional email provider. A secure payment link is sent so you can pay for your place. Your information will not be sold to third parties. On the public pages we also measure how the site is used, which is described below.
Booking information that is no longer required will be deleted or anonymised within a reasonable period. Contractual, accounting and payment records will be retained for the applicable legal period.

Why we collect it
To manage your booking, plan the floor plan and electricity, run the event, and prepare your participation agreement and invoice.
Your account and sign-in
Your email address opens a participant space so you can finish and follow your booking. Signing in sends a six-digit code to that address; the code is stored hashed, expires after ten minutes and is single-use. We keep a session record (a cookie, the sign-in time and expiry) for as long as you stay signed in. There is no password to remember and no advertising cookie on this site.
Where it is stored
The database is hosted by Neon in Frankfurt, Germany (EU). The site runs on Vercel and emails are sent through Resend — both are US companies and may process data outside the EU. We never see or store your card details. Microsoft Clarity runs on the public pages only, and only if you accept it.
Visits to this site
We keep our own log of page views: the page, where the visit came from, the approximate location resolved by our host (city and country), the browser, and the IP address. It is used by the organiser alone to understand how the site is found and used. It is never sold, never shared, and never matched against bookings or payments. The IP address is deleted after 30 days and the rest of the entry after 13 months, automatically.
How long we keep it
Bookings that do not go ahead: deleted or anonymised within six months, unless you separately agreed to hear about future editions. Contractual, accounting and payment records: retained for the applicable legal period.
Who else sees it
Only the organiser reads your booking. The providers named above process data on our instructions in order to run the site, the database, the emails and the payments. Nothing is sold to third parties.
Marketing
Future-edition marketing consent is a separate, optional and unticked checkbox. It is never bundled with the required booking terms, and you can withdraw it at any time by email.
Your rights
You may request access to, correction of, or deletion of your information at any time by writing to contact@withartists.com. You may also lodge a complaint with the CNIL.
